Job Summary Melone Hatley is seeking a full-time receptionist to join their growing Family law team in Virginia Beach.
The position serves as an administrative support for our clients, paralegals, attorneys, and back office functions.
The receptionist will greet clients/vendors, answer the phone, and appropriately direct calls, handle both client intake and onboarding tasks, and perform administrative functions in the office.
This is a direct client contact role you will be responsible for embodying our high standards of client service.
Candidates should have a strong foundation of client service experience, be client centric, be technically savvy, and have a collaborative team focus.
The ideal candidate will also possess strong interpersonal skills, multi-tasking skills, maintain a proactive approach and an empathetic attitude in dealing with confidential client matters.
Responsibilities and Duties Open the lobby daily and maintain a neat and orderly appearance.
Greet visitors, offer water/coffee - walk-in guests.
Check incoming emails on Admin account.
Respond to all emails.
Forward incoming faxes.
Set up electronic and physical client files for new clients (by attorney request) Physical files will be stored in binders in responsible attorney's office or in file cabinet, depending on size.
Prepare envelopes and mailing labels for outgoing mail.
Answer all incoming calls - forward to paralegals or schedule for a follow up appointment on an electronic calendar.
Create calendar events for attorney meetings, filing deadlines, and other important matters as requested.
Collect payment information for new and existing clients, process payments using LawPay as needed.
Manager firm-wide supply orders weekly.
Maintain internal tracking sheets.
Qualifications and Skills Highschool degree, some college preferred.
Demonstrated and passionate client service skills.
Office 365 skillset, technical aptitude.
