This role is integral to the smooth operation of our community and offers an opportunity to work closely with residents, families, and the Executive Director.
Purpose of Your Job Position The primary purpose of this position is to perform clerical and administrative support efficiently, in accordance with established procedures, and as directed by your supervisor.

Essential Functions:
Provide tours to potential residents and ensure that tour packets are assembled and ready.
Follow up with leads on behalf of the Executive Director.
Assist with onsite resident-facing events and programming.
Attend marketing functions on behalf of the Executive Director.
Type reports, memos, letters, and other documents using relevant computer software.
Answer phone calls, direct calls to appropriate parties, or take messages.
Record, type, and distribute meeting minutes.
Greet visitors and determine whether they should have access to specific individuals.
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
Perform general office duties such as ordering supplies and maintaining records management database systems.
File and retrieve corporate documents, records, and reports.
Open, sort, and distribute incoming correspondence, including faxes and emails.
Make travel arrangements for the Executive Director.
Perform other duties as required to support the community's goals and objectives.
Qualifications High school diploma or equivalent; additional education or training in administration is a plus.
At least 2 years of experience in an administrative or clerical role, preferably in a hospitality or senior living setting.
Strong organizational and multitasking skills with high attention to detail.
Proficiency with office software, including Microsoft Office Suite (Word, Excel, Outlook).
Excellent written and verbal communication skills.
Ability to work independently and prioritize tasks in a fast-paced environment.
